Your company's records are yours. We run the software they sit in. This page says exactly what that means, in the order it actually matters.
1. Who Is Who
Your company decides what goes into your desk and why. That makes you the controller of those records. We run the software that stores and processes them on your instruction, which makes us the processor. Your customers' information belongs to your relationship with them, not to us.
2. What We Process
Whatever your company puts in: jobs, estimates, customer names and addresses, crew and scheduling records, invoices and payment status, photographs and documents you attach, and the messages the desk drafts for you.
We do not ask for and do not want government identification numbers, bank credentials, or health information. Do not put them in a desk.
3. What We Do With It
We process it to run the service you are paying for, and for nothing else. We do not sell it. We do not rent it. We do not build advertising profiles from it, and we do not hand it to a data broker.
4. AI Features
Some desk features draft text or read a photograph you upload. Where a model is involved, it is used to produce that output for you and the content is not used to train a public model.
🔴 A desk drafts. It does not send. Nothing generated by an AI feature reaches your customer without a person on your side choosing to send it.
5. Sub-processors
We use a small number of vendors to run the service — hosting and content delivery, payment processing, and email or SMS delivery where a desk sends notifications. Each is bound to confidentiality and to processing only on instruction. The current list is available from [email protected] on request, and we will tell you before we add one that touches your records.
6. Where It Lives
Records are processed in the United States.
7. Security
Encrypted in transit and at rest. Access on our side is limited to the people who need it to operate or support the service, and it is logged. See Security for how this actually works.
8. If Something Goes Wrong
If we become aware of a breach affecting your records, we tell you without undue delay and with what we actually know — what happened, what was affected, and what we are doing. We do not wait to have a tidy story.
9. Your Instructions
You can ask us to correct, export or delete records at any time, and we act on it. If one of your own customers exercises a right against you, we help you answer them.
10. When It Ends
When your lease ends, you can export everything for at least thirty days. After that we delete it, except anything we are required to keep for tax or legal reasons, which stays isolated and is not used for anything.
11. Audits
You can ask us what we do and how, and we will answer in writing.
